Photography Guidelines

Usage and Photo Release

  • The usage of student photos for marketing: a photo release must be signed by students if their images will be used for print or digital marketing. The release and photo must be archived by the marketing department. This applies to all photos that are taken where individuals are easily recognized. Any student under 18 years old must have a legal parent/guardian sign a photo release on their behalf.
  • Photographs taken by the South Texas College Public Relations and Marketing Team are to be used for college related purposes only. Students, faculty and staff cannot request photos for personal use or non-college related usage. All photo requests are vetted by the Chief Photographer and Public Relations and Marketing Director.
  • South Texas College Public Relations and Marketing Department uses original photography for shots of our campus, program marketing, students and faculty features and encourages the limits of the use of stock photography. If you have trouble finding images, contact the Office of Public Relations and Marketing, which maintains an online gallery of approved, high-resolution original college imagery. Please allow at least 48-72 hours to respond to photo requests.
  • If you have set up a photo shoot with the Photography Department for your project, the photographer assigned will meet with you or have a virtual meeting or call to go over our photo shoot guidelines, what is required of your department, and how the photos will be available for your project. As the representative of your department you should not promise your students any photos, or that their photo will be on the marketing material. The Creative Service team has the final say on the images based on the design of the product.

Photos for Marketing Use

  • When putting together marketing material that requires various photography assets, we as the experts, choose the images that will be used. Your department representative will be sent a proof before ordering any marketing material and the proper changes will be made by our team in a collaborative effort with your department.
  • Reasons your photo selections may not make the marketing material: inappropriate clothing, strongly branded clothing, revealing clothing, sunglasses or caps/hats, uninterested students, and or students who have been expelled for set reasons. All removal or replacement of imagery for your project is vetted by our Creative Service Department and Photography Department in the best interest of protecting the college’s brand.
  • South Texas College Public Relations and Marketing team can use photography of current students, alumni, student models, or paid actors for projects. The photography can appear staged or candid. All images used for marketing material has to be photographed by our Chief Photographer or a member of the PR Marketing team. If photos are being submitted for a project they must be shot on a professional DSLR or Mirrorless camera and meet the resolution requirements for print and web. Cell phone photos will not be accepted for marketing material but could be vetted for press releases or news.

Photo Library and Archive

  • The South Texas College Public Relations and Marketing department maintains a library of photos online through pre-approved access only. These photos are only available for college use such as marketing, press releases, college print publications and other projects that are directly promoting the college.

Please allow up to 48-72hrs for your photo request to be reviewed and vetted. If approved the Chief Photographer will share the image or gallery with you through our Libris gallery.
