General Email Guidelines

The STC Public Relations and Marketing Department adheres to the following guidelines as standards for messages sent out to faculty and staff. This is called "general e-mail" distribution and messages must meet the following guidelines:

  • be related to college programs, activities and events
  • be related to organizations affiliated or in partnership with STC
  • contain a contact name along with telephone number and e-mail address
  • be submitted via e-mail (no phone calls) and addressed to "general@southtexascollege.edu"
  • not be personal in nature (parties, anniversaries, etc.)
  • have approval of the Director of Public Relations and Marketing or designated staff member
  • adhere to STC Guidelines Governing Access and Usage of Communication Technologies as set forth by the Information and Technology Services Division

General e-mail regarding an event must contain the following information before it will be considered for distribution:

  • date, time and location of event
  • specific campus and room or building number if being held at an STC campus
  • sponsoring entity (division, organization, etc.)

STC General e-mail cannot be used for the following purposes:

  • to promote personal or any other activities that do not directly involve or benefit the students, faculty and staff of STC.
  • to promote outside business activities or charitable organizations supported by individual faculty and staff of STC.

Events regarding student activities must have prior approval from the Director of Student Life or Office of Student Activities before information is submitted to general e-mail.

Please limit the use of attachments and large files. Many people will not open attachments for fear of viruses and therefore your message may be deleted and not read. The Office of Public Relations and Marketing reserves the right to delete large graphic files and other attachments before forwarding general messages.

NOTE: General e-mails are released twice daily during weekdays, at approximately 10 a.m. and 2 p.m. There are no holiday and weekend releases.

The Public Relations and Marketing Department reserves the right to limit reminders and follow-up reminders submitted to the general e-mail.
